Application Overview
The Time and Material (T&M) Billing system automatically generates billings for labor, materials, subcontracts, equipment, and other transactions that comprise cost. The billings are prepared from transactions entered through Payroll, Accounts Payable, Order Processing/Inventory Management, General Ledger and Equipment Accounting Systems, as well as Time and Material.
With eCMS, your company will eliminate the clerical time required to compile billable costs, extend invoice amounts, and print invoices. All costs posted to a job are billed - reducing lost revenue from missed items. Preliminary invoices can be easily reviewed and adjusted before a final invoice is generated.

Pricing
eCMS bills items at their direct cost, cost plus a percentage markup, flat rate, cost plus a flat rate, or markup plus a flat rate. Inventory items can be billed at the sales price in the Inventory Master File. Profit can be added to all billings; these additions are based on the overhead, profit and miscellaneous percentages entered for each job. A free form invoice entry allows the billing of non-system controlled items and facilitates billing quick turn around work orders. All costs for jobs coded "Time and Material" are automatically included in the time and material detail billings. These items can be changed & deleted and additional items can be added to produce correct billings.
Preliminary Invoice
The items on the Time and Material Preliminary Invoice are grouped by contract items or cost type depending upon the type of invoice. The preliminary invoice calculates the cost and margin, as well as the sales amount for each line item. Preliminary invoices can be run as often as necessary before producing a final invoice.
Producing the Invoice
Invoices are produced in detail or summary format by cost type, date, or work order number. Invoices can also be printed in contract (AIA or standard) formats to satisfy reporting requirements. Sales tax can be calculated and added to invoice totals. Discounts can also be calculated and recorded to maintain control over price reductions. Retention can be calculated on Time & Material invoices. |
